What "on-brand" means for a corporate session

When ten people on your About page were photographed by ten different photographers, your About page looks scrambled. The fix is consistency — same lighting ratio, same backdrop, same colour temperature, same crop, same retouching pass. That's the entire point of a dedicated corporate session.

Every corporate booking I take, regardless of head count, is colour-graded against a single reference frame. If your CEO's headshot was shot in March and the new VP joins in October, her headshot will match the existing team because the studio file is preserved, the backdrop is consistent, and the retouching style is documented.

Three ways to run a corporate session

1. Studio sessions

Each team member books a 15-minute slot. I shoot back-to-back across a half-day or full-day window. This is the cleanest, fastest, lowest-cost format and the one I recommend for teams of 5–25. Because of the size of studio, schedule needs to be strictly respected without delays.

  • Per-person cost: $100 session fee + $100 per finished image (most pick 1 or 2)
  • Typical day: 8–12 people in a half-day, 16–20 in a full day
  • Turnaround: same-day proofs, finals in 48–72 hours

2. On-site sessions (your office)

I bring the studio to you. Useful when scheduling 25+ people through a downtown studio is impractical, or when leadership wants a particular environmental backdrop (boardroom, lobby, branded wall). I scout the space ahead of time and set up a portable studio with strobes and a controlled backdrop.

  • On-site fee: $300 setup + travel within the GTA
  • Per-person cost: $100 per finished image (no individual session fee on team bookings)
  • Minimum booking: 8 people for on-site

3. Hybrid: founders in-studio, team on-site

Common pattern for growing companies: leadership headshots are shot in the studio for a polished controlled look, and the team is shot on-site for efficiency. The retouching pass unifies them so the About page reads as one company.

  • Web and high-resolution exports of every chosen image

For a 12-person team picking 1 image each: roughly $1,200–$1,400 all-in for the studio option, lower if you take advantage of the 10+ group discount.

A one-page prep sheet I provide includes:

  • Wardrobe guidance, solid colours, no logos, layer recommendations matched to your brand palette
  • Grooming notes, what holds up under studio lighting
  • A 5-minute "what to expect" video so first-timers don't arrive nervous
  • The exact studio address or office room location
  • A booking link with the team's available time slots

You forward it to your team. I handle scheduling, reminders, and the day-of logistics.

Frequently asked

Can you re-edit our existing team photos to match the new ones?

Yes, light colour grading and crop standardisation on existing files is $50 per image. Heavy retouch on existing images is $100, same as a new edit.

Do you offer subscriptions for fast-growing teams?

Not formally. The practical equivalent: book a half-day studio session every 6–9 months as you accumulate new hires. Roughly half my corporate clients run on this cadence.

Do you sign NDAs?

Yes. Send your standard NDA to josepalma@josepalma.ca before booking. Default behaviour: I do not publish or post any image from a corporate session without written sign-off from the company.

What's your cancellation policy for team sessions?

Full reschedule with 7+ days notice, no fee. Inside 7 days, a 50% rescheduling fee applies to the booked window (not per-person). Individual no-shows on a team day are billed the per-person session fee.

Can you photograph our office for the website at the same time?

Yes, corporate session days can include 1–2 hours of office/environmental photography and videography. Quoted separately based on scope; ask in the booking conversation.
